Apology Regarding Recent Data Breach
Dear Families,
In the spirit of honesty and transparency, I am writing to offer our sincere apologies following an incident that occurred on Monday, 21 July 2025, involving a communication sent to families regarding the current COVID-19 outbreak at Buckland Aged Care.
Regrettably, and in full disclosure, the message inadvertently included the names of two residents. This was inappropriate for the intended audience and did not align with our privacy and confidentiality standards. It was an unintentional breach of privacy, and we deeply regret the distress this may have caused.
We were notified of the issue within five minutes of the communication being sent. Upon being alerted, we acted swiftly to remove the message within two minutes. Since the incident, we have contacted all affected residents and families directly to offer our personal apologies and assurances.
To ensure full transparency and facilitate effective review and management, we have formally recorded this incident in our incident management system. This allows us to track corrective actions and evaluate improvements to prevent such incidents from recurring.
Furthermore, we have implemented a process change effective immediately: all external communications must now be reviewed and authorised by either the General Manager or the Quality and Compliance Manager prior to distribution. This added layer of oversight will help ensure all communications reflect our commitment to privacy, dignity, and professionalism.
At Buckland Aged Care, we take our duty of care seriously and remain passionately committed to protecting the dignity and confidentiality of all residents. We are terribly sorry for this lapse and assure you that we are strengthening our internal systems to uphold your trust.
